How to Find the Right Cosmetic Pump When Your Current Suppliers Cannot Match Your Sample

A customer in Slovenia spent about a month trying to match a pump to his end customer's sample. We screened around 50 suppliers in three days and found it.

Cosmetic dispensing pump, matched to a supplied sample

In short: a customer in Slovenia had spent about a month looking for a pump that matched his end customer’s sample — the same design, the same dispensing output — without success. He sent us the physical sample; we screened around 50 pump suppliers in three days and found a match. The project started in 2024 and still receives repeat orders.

Finding a cosmetic pump may sound simple. When the brief is “match this sample”, it stops being a catalogue question.

Why finding the right pump can be difficult

Two pumps may look almost identical and behave differently. Dispensing output, dimensions, internal structure and compatibility with the bottle are not the same thing as a matching exterior.

When an end customer hands over a physical pump and asks for the same one, sending catalogue pictures answers a different question. The product has to meet the actual requirement.

What “the same pump” usually involves

  1. The same dispensing output — how much product leaves the pump per stroke.
  2. The same neck finish and tube length, so it fits the bottle it was designed for.
  3. The same external design and surface finish.
  4. A pump that behaves correctly with the formula it will carry — viscosity changes what a pump does.

A real case: one month of searching

One of our customers in Slovenia first worked with us on colour cosmetics. As our cooperation developed, he also began sourcing packaging components such as bottles and pumps through us.

In 2024 the customer faced a difficult project. His end customer provided a pump sample and asked for the same design and the same dispensing output.

The customer spent about a month searching for a suitable supplier and could not find a satisfactory match. Eventually he sent the physical sample to our team and asked whether we could help.

A pump can match on the outside and still deliver a different dose per stroke.

What our team did

Instead of sending a few catalogue pictures, we started a focused supplier search:

  1. Trade fairs and exhibitor lists — to find manufacturers who actually make this type of pump.
  2. Supplier websites and product pages — filtered by structure and output, not by appearance.
  3. Direct contact — asking the manufacturers whose range looked close enough to be worth a sample.

Over three days we matched and screened around 50 pump suppliers. From the options that survived, we compared what each could actually deliver against the sample — design, dimensions and dispensing behaviour — and found a pump that met the customer’s requirements.

The search is about structure and output, not the shape on the outside.

What made this case meaningful

The value was not simply finding another supplier. The customer had already spent significant time searching, without success.

By combining product knowledge, supplier research and team coordination, we helped solve a problem that had already delayed his sourcing process — and let him move forward with his own end customer’s requirements.

The project began in 2024 and has continued to receive repeat orders.

How we can help

If you are looking for a difficult-to-find cosmetic packaging component, send us your sample, product photos, dimensions or performance requirements. What helps most:

  • A physical sample, if one exists — it settles what photos cannot.
  • Clear photos from several angles.
  • Dimensions: neck finish, diameter, tube or dip-tube length.
  • Target dispensing output, and the formula the pump will carry.
  • The bottle specifications it has to fit.
  • Estimated order quantity, so the search stays inside manufacturable volumes.

We can evaluate possible sourcing approaches, search for suitable suppliers and help coordinate samples for comparison. If the pump also has to work with a bottle or jar, send that specification too — the pair is checked together, as one set. Our skincare packaging range shows the bottles, tubes and jars such a pump usually meets.

A limit worth stating

For pumps and dispensing systems, a visual match is not a performance match. Final suitability should be confirmed through appropriate performance and compatibility testing before a bulk order is placed.

Sometimes the most valuable thing a supplier can provide is not another quotation. It is a solution to a problem you have already spent weeks trying to solve.

FAQ

Can you find a cosmetic pump based on an existing sample?

We can evaluate the sample and search for matching options. Whether a match exists depends on the design, the specifications and the manufacturing capabilities available.

Why is dispensing output important?

Output decides how much product is released per stroke. It affects the consumer’s experience of the product and the application the formula was designed for.

What information helps you find a matching pump?

A physical sample, clear photos, dimensions, the target dispensing output, the bottle specifications and an estimated order quantity.

How long does a pump sourcing search take?

It depends on how specific the requirement is. In this case the screen of around 50 suppliers took three days; approving a sample against the real formula takes longer.
